North Kildare Tennis Club Privacy Notice

North Kildare Tennis Club wish to inform you of the General Data Protection Regulations (GDPR) and how this affects the Club’s responsibility in managing the data you have supplied to the Club.

The Club takes the matter of data management seriously and the personal data supplied by members, provided when membership was obtained, will be used to inform you about the Club’s activities and developments.

Personal data provided by members may be shared with and used by the Club’s coaching partner, Michael Donaghy head of coaching who may use the data for promoting the activities and developments at North Kildare Tennis Club.

Personal data provided by members may be processed and used by the Club’s committee members for the purposes as detailed above and on occasion as detailed in points 6, 7, 8, 9 & 10 below.

Additionally, the following information is provided for you:

1) You can make a verbal or written request to view your personal data held by the Club, known as a Subject Access Request, the Club will respond to this request within one month.

2) You can make a verbal or written request to have inaccurate personal data rectified or completed if it is incomplete. The Club will respond to this request within one month.

3) Data provided by members will be kept for a period of 3 years following non-renewal of membership unless the individual requests their data to be removed (erased) prior to this period of time. You can make a request for “erasure” verbally or in writing and the Club will respond within one month. This is not an absolute right and only applies in certain circumstances.

4) You have the right to request restriction or suppression of your personal data. If you do not wish to receive information from the Club, as detailed above, you can make a written or verbal request instructing to cease processing. The Club would still store your personal data in these circumstances unless an erasure notification was also received. The Club will respond to this request within one month. This is not an absolute right and only applies in certain circumstances.

5) You have the right to complain to the committee if you think there is a problem with the way your data is being used.

6) On occasion your data may be shared with the DLTC for example, during the process of assigning team places for Winter league etc.

7) Where members opt-in to receive information from the Club’s partners, on the on-line membership form, data may be shared with the partner organisation(s) that the member opted-in to receive.

8) Some government and regulatory bodies have statutory powers to require information about relevant persons, which may override the powers of the GDPR. If such requests are made the Club would ensure the requesting body is authorised to obtain this information before submitting it.

9) On occasion North Kildare Tennis Club may obtain images (photos &/or video) of members playing tennis, including juniors, for the purposes of promoting the Club via its website & social media platforms and to celebrate the achievements of members during Club related tennis activities.

10) Anonymised data is shared with the Club’s on-line financial management partner for the purposes of paying memberships on-line.
